About Us

The Girl Scout Central Events Planner in partnership with various GSUSA business units, is responsible for strategizing, planning and executing high quality events for the Girl Scout Central space to raise awareness as well as drive high levels of attendance and engagement. In addition, the position is responsible for the development of a level of revenue for the organization from events.

 

Girl Scout Central, located in the heart of New York City is a new venture for GSUSA in presenting the Girl Scout brand to the public in an exciting environment which includes an exciting expanded retail presence. The space has first floor access, large square footage, user-friendly touchscreen computers, along with official Girl Scout branding and merchandise for both our members as well as external customers who support Girl Scouts. Girl Scout Central is an adventure where adults and girls can experience and learn more about the mission of Girl Scouts.

The position includes the development, oversight and maintenance of an annual calendar of events as well as identifying new event opportunities for the organization. The Events Planner will also interface with outside talent and events support professionals. This role will be responsible for contracting, communication, planning, logistics, preparation and execution of events and will be expected to be on site to manage events and provide follow up information and data including ROI analysis to supervisors.

 

You Will

  • Develop the annual strategy of events go Girl Scout Central which included identifying event themes and participants.
  • Meet with internal and external stakeholders, volunteers, and vendors to work out event calendar and details. Plan with the management of the organization on coordination of events to meet GSUSA’s objectives.
  • Understand the complex needs of the events and planning event aspects and making necessary changes when needed.
  • Maintain a working relationship with external event talent, volunteers, participants, event vendors and internal staff partners.
  • Procure and organize external support partners (companies or other organizations) and volunteers for events.
  • Ensure good customer experience by development and execution of events that are customer friendly and customer focused. Manage event details which enhance the overall event experience.
  • Lead efficient and effective operation of events at Girl Scout Central by contributing new ideas and approaches to the successful development of events.
  • Demonstrate leadership by effective on-site management of all aspects of events.
  • Assist in the negotiation of contracts with event participants as needed and monitors terms of contracts.
  • Plan and coordinate organizational personnel, volunteers and other participants for the event. Ability to delegate event planning tasks to GSUSA staff partners, volunteers and participants where necessary. Coordinate and work with GSUSA Marketing/Communication and Social Media team at GSUSA and councils to publicize events.
  • Adhere to budget guidelines while planning event specifications.
  • Develop and coordinate post-event analytics/evaluation to include return on investment analysis, to ensure continued success of events and sustainability.
  • Track all event expenses and assist in managing budget guidelines.

 

Other important duties include:

  • Manage and oversee events on the day of, including problem-solving, welcoming guests, directing event set-up/take down, communicating with staff and other participants. Includes anticipating and planning for possible different scenarios and potential issues.
  • Create sales opportunities for and during events from the sale of Girl Scout
  • Coordinate with buying team on product needed to suit event themes and event calendar.
  • Be responsible for interacting with GSUSA customers/membership base on a regular basis and as part of the Girl Scout Central Team will be expected to be a brand ambassador as well as knowledge source for the
  • Have knowledge of and sell Girl Scout product.
  • Liaison closely with GSUSA teams including Marketing/Communications, Cultural Assets Team, Girl Experience, Merchandising, Retail Store Operations and other stakeholders to conceptualize, identify opportunities and define event goals.
  • Ensure all aspects of events are aligned and planned to expectations and meet goals set by management.

You Need

  • Bachelor’s degree or Certification in Event/Meeting Planning/Logistics or relatedarea, or equivalent relevant experience
  • 7+ years of experience in planning and execution of a variety of events that drive customer engagement as well as revenue in a retail environment.
  • Experience procuring event participants such as speakers, writers, performers,
  • Procuring and organizing external partners and volunteers events.
  • Demonstrated experience managing, coordinating and supervising events details
  • Including the oversight of on-site vendors and suppliers and researching meeting space limitations. This includes experience planning and executing logistical arrangements for events of varying size and complexity.
  • Candidate will be extremely organized and be able to manage the logistics of the event simultaneously.
  • Experience with the Girl Scout movement a plus
  • Strong computer skills using Microsoft Office Suite and event software (Events
  • Pro a plus), as well as other relevant software programs
  • Proficient social media knowledge skills
  • Strong customer service skills.
  • Experience with data management and reporting
  • Ability to work in a high-functioning team with specific timelines and outcomes
  • Highly creative with the ability to develop new ideas.
  • Excellent interpersonal and verbal and written communication skills.

 

This is a full-time position. Days and hours of work typically Monday through Friday,

9:00 a.m. to 5 p.m. However, position will require she/he to be present at events when occur in evening and on weekends.
